The Project Manager, US Events, is a key hands-on role responsible for the end-to-end planning, execution, and measurement of Kahoot!'s presence at major tradeshows, industry conferences, executive forums and advisory boards across the United States. You will translate global event strategies into high-impact, market-specific US activations, driving leads and ensuring exceptional on-site execution that often involves high-level customer and internal executive interaction.

Occasionally, you may be involved in the preparation and support of events in other locations (EMEA and APAC), and in other relevant projects, so a small degree of international travel may be expected as well.

This position of Project Manager, US Events is located in Austin, Texas.

Responsibilities

US Event Management & Logistics (60%)

  • Project Ownership & Logistics: Own the full project lifecycle for assigned US events, including large-scale tradeshows, smaller executive events, and customer receptions. Manage all event logistics, including exhibit space, GSC coordination, shipping, labor, utilities, and on-site setup/teardown, as well as the end-to-end logistics for all event swag, including vendor sourcing, inventory management and on-site distribution.
  • Budget & Vendor Management: Develop, track, and reconcile detailed event budgets to ensure on-time delivery within financial parameters. Source, negotiate with, and manage US-based vendors for quality and cost-effectiveness.
  • Staff Coordination: Plan, train, and coordinate all on-site event and booth staff (including Sales and Product teams, and executive stakeholders) to maximize event objectives.

Strategy, Stakeholder, & External Engagement (20%)

  • Customer and Industry Engagement: Actively build and maintain relationships with key customers, industry organizations and event organizers to secure strategic speaking slots, sponsorship opportunities, and favorable contract terms.
  • Internal Alignment: Collaborate closely with the Customer Experience, Sales, and Product teams to align on event objectives, activities, and promotional messaging.
  • Global Coordination: Work with the Senior Manager and international counterparts to maintain consistent global branding and share best practices.
  • Lead Management: Coordinate with the Customer Experience team to ensure seamless lead capture, reporting, and timely post-event follow-up protocols.

Reporting & Continuous Improvement (20%)

  • Evaluate Performance & Feedback: Conduct thorough post-event evaluation, including financial reconciliation and metric reporting against Key Performance Indicators (KPIs). Crucially, gather and synthesize qualitative insights and feedback from internal teams and external customers to assess the event experience.
  • Generate Recommendations: Provide actionable recommendations to improve future event strategy and overall execution based on both performance data and qualitative feedback.

  • Experience: 3–5 years of progressive experience in event management, with a strong emphasis on planning and executing large-scale B2B tradeshows, conferences, and executive-level customer events.
  • Tradeshow Expertise: Deep knowledge of tradeshow operations, including experience with General Service Contractors (GSC) and managing exhibit logistics in key US markets.
  • Project Management: Excellent project management skills; ability to manage multiple complex projects, prioritize effectively, and meet tight deadlines. Proficient in project management tools (e.g., Asana).
  • Communication & Negotiation: Exceptional communication skills and proven ability to negotiate contracts, manage vendor relationships, and present clearly to key stakeholders.
  • Software Proficiency: Experience with lead management and CRM tools (HubSpot or Iterable is an advantage).
  • Education: Bachelor’s degree in Marketing, Business, Communications, Hospitality, or a related field.

Travel: Ability to travel approximately 25-35% of the time, primarily within the US, although occasional international travel may be required.
